Being Prepared Isn't the Same as Being Powerful
This is why some rooms just feel different
I get asked this question a lot: what separates senior leaders who command a room from those who simply run through an agenda?
The answer, more often than not, is facilitation.
It's easy to dismiss facilitation as something reserved for trainers or workshop hosts. But the truth is, facilitation shows up everywhere. In the meeting you're leading. In the town hall you're hosting. In the strategy session where everyone is waiting to see how you'll handle the tension in the room. Even in the way you run a simple team check-in.
If you're well prepared with your slides and your content, the meeting will likely go smoothly. But smooth isn't the same as powerful. The real question is: how do you make it more than just an exchange of information?
Here's what I've learned works.
Switch modes. Don't get stuck only responding to content. When someone shares an idea or a concern, you can also address how they conveyed it, or what it took for them to say it. Asking "what was that like for you to share?" uncovers a completely different layer than simply responding to what was said. This is where real insight and connection happen.
Avoid negative priming. Don't tell your audience "you must be tired" or "I know this isn't going to land well." The moment you say it, you plant it. People will start to feel exactly what you just suggested, even if they weren't feeling that way before you opened your mouth.
Take the work seriously, but don't take yourself too seriously. Don't react personally when you're questioned or challenged, even when it feels aimed at you. Stay out of judgement. I learned this the hard way years ago when I would wonder why students seemed distracted on their phones during my classes, only to find out later that many of them were taking notes or looking up something I had just mentioned. Imagine if I had called them out in front of everyone.
Facilitation is a superpower. Done well, it gets people to speak up, increases self-awareness, and creates the kind of insight that no slide deck ever could. Done poorly, even the most prepared leader can lose a room entirely.
This is exactly what we teach in our Deep Human Facilitation programme, an intensive two-level course in the fundamentals of facilitation. We cover both the intrapersonal skills, like mindfulness, active noticing, and setting up a safe learning environment, and the interpersonal skills, like holding space, active listening, empathy, and asking good questions. Level 1 builds your foundation. Level 2 takes you deeper, preparing you to navigate senior stakeholders, complex group dynamics, and more challenging audiences.
If you lead meetings, run workshops, or host any kind of group experience, this is a skill worth mastering.
